Site Furniture Survey

Site Furniture Surveys are typically carried out by estate staff as part of their normal duties. Surveys may be pre-planned, or may be setup to allow for ad-hoc reporting when staff see something that needs doing. The staff can record the inspection using the Tree Survey Android application (on their mobile phone or tablet), or the data can be noted down and later entered directly into the OTISS web site.

The table below lists the data that is recorded for each site furniture inspection. All site items must have a reference, a valid location, and be assigned to a survey – all the other fields can be left blank or a ‘Not Recorded’ value entered.

Many of these inspection field can be customised by the user – i.e. those marked with a * below.

  • The field’s label can be changed.
  • A suggestion list of common values can be updated.  This list will appear on the inspection forms on the website and the TreeSurvey Android application.
  • The field can be shown/hidden on the inspection forms.
  • The Estate->Furniture web page allows the user to customise these field.
Field Name Description
Survey & Site Each inspection is carried out within a Survey. The Survey dictates the site for this item. (required)
Location The location – stored as longitude/latitude in the GIS database  (required). Also displayed as national grid references. At present, a single point is used – even for fences, pipelines, etc. In a future release, the extent of linear items will be drawn.
Reference A reference name or number. e.g. DX06542, BD-32-11. (required)
Type An item type selected from a list of furniture, e.g. gates, fences, benches, utilities, etc.
Subtype* A subtype or category.
Description A detailed description of the item. For example: its general structure, its location, potential issue, etc. This information tends to be unchanging between inspections.
Inscription A record of any inscription, information or warnings on the item.
Date Inspected The date on which the item was inspected.
Inspector The name of the inspector.
Survey Notes Detailed notes of what was seen during this inspection.
Inspection Cycle How long before this item should be inspected again, e.g. 1 Year, 2 Years, 5 Years, etc.
Condition A summary of the overall condition: good, fair, poor
Height A measurement or estimate of the height in metres.
Length A measurement or estimate of the length in metres.
Width A measurement or estimate of the width in metres.
CustomText1* A configurable text field (max 50 letters).
CustomText2* A configurable text field (max 50 letters).
CustomText3* A configurable text field (max 50 letters).
CustomNum1* A configurable decimal number.
CustomNum2* A configurable decimal number.
CustomNum3* A configurable decimal number.
Recommendation A set of recommendations for maintenance work or further inspections required.
Time scale A timescale for these recommendations, e.g. Urgent, 6 months, 1 Year, 2 Years, etc
